Traditional studio production costs compared with a prompt, script, storyboard, and AI-generated explainer video workflow

The headline price of an explainer video is only one part of its cost. A useful budget includes briefing, source preparation, scriptwriting, storyboarding, narration, visual production, review, revisions, localization, accessibility, distribution, and future updates.

Short answer: agencies and specialists sell human strategy and bespoke production; manual animation software lowers external spend but transfers work to your team; AI generation reduces repetitive scripting, narration, storyboarding, and scene production when the format fits. Compare total cost to a usable, approved video—not subscription price alone.

Three examples of increasing production direction

The same AI platform can support a quick prompt, an exact script, or a custom visual system. Those choices change preparation and review effort even when the rendering workflow is automated.

One-sentence prompt → illustrated explainer

Why the Roman Empire fell

A short history brief becomes a paced, narrated explanation for a general YouTube audience.

Exact prompt

Create an explainer video on why the Roman Empire fell — engaging, fast-paced, for a general YouTube audience…

Approved script → animated explanation

What is a quantum computer?

A conversational script becomes an ordered visual explanation while the supplied wording remains the narration source.

Script opening

A normal computer uses bits. A bit is either a zero or a one. A quantum computer uses qubits, and qubits behave differently…

Art direction → reusable scene style

The Odyssey in a description-defined Custom Style

Written art direction establishes ancient pottery, parchment, dramatic oceans, and golden-blue lighting across the video.

Style description

Use a cinematic mythological animation style inspired by ancient Greek pottery, weathered parchment, and dramatic ocean landscapes. Blend heroic character illustrations, stormy sea transitions, and golden-blue lighting to capture the epic, mysterious journey of The Odyssey.

A total-cost model you can actually use

For each production path, calculate:

Total project cost = external fees + internal hours × loaded hourly rate + media or voice rights + revision cost + localization and accessibility + distribution and hosting + expected update cost.

Then divide by the number of approved, usable videos—not the number of drafts. For a library, also calculate the cost of updating one fact across ten or fifty assets. A low first-video price can become expensive if every change requires rebuilding the production.

Questions that change the budget

  • Is the script approved, or must the production team research and write it?
  • Does the video need custom characters, live action, a real presenter, or a generated illustrated format?
  • How many stakeholder and legal review rounds are required?
  • Will product screenshots, documents, footage, music, or a custom voice be inserted?
  • How many languages, aspect ratios, captions, or accessibility variants are needed?
  • How often will prices, policies, interfaces, or regulations change?

Run a fair cost pilot

  1. Choose one real source you would publish.
  2. Define the same duration, audience, output format, and approval standard for each path.
  3. Track human minutes from brief to approved export.
  4. Count every revision and note why it happened.
  5. Score factual accuracy, narration, visual usefulness, brand fit, and updateability.
  6. Project the result at your real monthly or annual volume.

Frequently asked questions

How much does an explainer video cost?

The answer depends on the production path and scope. Agency and freelancer work bundles human strategy and production; manual software lowers cash spend but adds internal labor; AI lowers repetitive production work but still requires source preparation and review.

What costs are usually forgotten?

Internal briefing time, subject-matter review, revisions, localization, accessibility, media rights, distribution, and future updates are often omitted from the headline quote.

Is AI always the cheapest option?

Not automatically. AI is strongest when the source is ready, the format fits generated illustration, and a reviewer can approve the output. Bespoke cinematic work, complex live action, or extensive art direction can still require a specialist team.

How should a team compare tools?

Run the same real source through the shortlisted workflows. Compare time to a usable first draft, revision effort, internal labor, rights, consistency, and total cost at your expected volume.
